1. Who is the data controller

The controller of your personal data is Základní organizace Českého zahrádkářského svazu Sosnová, IČO 70941220, with its registered office at Pod Krejcárkem 975/2, 130 00 Praha 3, Czechia. We are a non-profit branch organisation of the Czech Gardening Association (Český zahrádkářský svaz) and we process personal data only to the extent necessary for our community, educational and ecological activities.

2. What personal data we collect

• Inquiry data. When you use our contact form or write to us, we receive your name, email address, subject, inquiry type and the content of your message.
• Membership and participation data. If you join the organisation or register for a workshop, we record your name, contact details, municipality and, where relevant, the allotment plot concerned.
• Technical data. Our hosting provider processes standard server log information such as IP address, browser type, requested page and timestamp, for security and availability purposes.

We do not collect special categories of data, we do not knowingly collect data from children without the involvement of a parent, guardian or school, and we never sell personal data.

3. Legal bases and purposes

• Legitimate interest (Art. 6(1)(f)): answering inquiries, maintaining the security and integrity of our website.
• Contract or membership relationship (Art. 6(1)(b)): administering membership, workshop registrations and allotment-related communication.
• Legal obligation (Art. 6(1)(c)): keeping accounting and statutory records required by Czech law.
• Consent (Art. 6(1)(a)): optional newsletters or the publication of photographs in which an individual is identifiable. Consent can be withdrawn at any time.

4. Cookies and analytics

This website is built to work without advertising or tracking cookies. Only strictly necessary technical storage required to serve pages and remember your interface preferences may be used; such storage does not require consent under Czech Act No. 127/2005 Coll. We do not operate advertising networks, social media pixels or cross-site profiling. If we ever introduce optional analytics, we will request your consent beforehand and record your choice.

5. Who has access to your data

Access is limited to elected board members and authorised volunteers who need the information to respond to you. Data may be processed by our website hosting and email providers acting as processors under written agreements. Where a processor operates outside the European Economic Area, transfers rely on the European Commission's standard contractual clauses or an adequacy decision. We may disclose data to public authorities only where we are legally required to do so.

6. How long we keep data

• Inquiry correspondence: up to 24 months after the matter is closed.
• Membership records: for the duration of membership and up to 5 years afterwards.
• Accounting and grant documentation: for the retention periods required by Czech accounting and tax legislation, typically 5 to 10 years.
• Consent-based records such as photographs: until consent is withdrawn.

7. Your rights

Under the GDPR you have the right of access to your data, the right to rectification, the right to erasure, the right to restriction of processing, the right to data portability, the right to object to processing based on legitimate interest, and the right to withdraw consent at any time. To exercise any of these rights, write to info@cernozicehorseclub.org. We will respond within one month, and we may ask for reasonable proof of identity to protect your data.

If you believe your data has been handled unlawfully, you may lodge a complaint with the Czech data protection supervisory authority, the Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Praha 7, Czechia.

8. Security

We apply appropriate organisational and technical measures, including access limitation, encrypted transport (HTTPS), password protection of accounts, and the principle of data minimisation. Volunteers with access to personal data are instructed on confidentiality.

9. Changes to this policy

We may update this policy to reflect changes in our activities or in the law. The current version is always published on this page with its update date. Material changes affecting members will additionally be communicated by email.
